City of Beech Grove, Indiana and the surrounding area.
Fall Festival Vendor Agreement
All vendors MUST read this entire document to be certain you are prepared for the festival, thank you!
2025 Beech Grove Fall Festival Vendor Agreement
1. The Beech Grove Promoters Club Fall Festival will be held September 10th – 13th 2025. The hours are 6:00 PM - 11:00 PM Wednesday-Friday, Noon - 11:00 PM Saturday.
2. Prior year participants shall have until July 1st, 2025 to exercise their priority option for space.
3. All vendors must email proof of insurance to: bgfallfestival@gmail.com
4. Traffic will be stopped at the festival site at 6:00 PM Tue-Fri and at 11:30 AM on Saturday.
5. Booth set-up will start at 6:00 PM September 9th, 2025. Booth setup must be completed by 5:00 PM on September 10th 2025. All booths and festival related materials must be removed from the festival area by 6:00 AM Sunday, September 14th, 2025.
6. All vendors are responsible for keeping the booth area clean at all times. Failure to do so could result in dismissal from the festival.

7. Booths are 15 feet wide and 10 feet deep, unless additional width is purchased.
8. The Beech Grove Promoters Club’s charge for each activity will be as follows:
a) Professionally operated booths, regardless of activity: $300
b.) Non-profit booths with income (sales/games/etc.): $190
c.) Non-profit booths without income: $110
d.) Non-profit booths reporting as having no income activity and paying $110 in advance may not sell product or in any other way (games etc.) make income unless the additional $80 fee is paid in advance of sales. Donations are acceptable, but cannot be used as a means to avoid registering as a booth with income - for instance "free sandwich with a $5 donation."
9. No nails, stakes, screws, or any other item may be used which penetrate the asphalt on the road. All structures must be secured using non-evasive means, such as sandbags or cement blocks.

10. Each booth will remain open until 9:00 PM each evening, except Saturday - where booths should stay open until 10:00 PM, weather permitting. Closing prior to the permitted time without permission from the booth chairman may result in the loss of space at future festivals. Driving vehicles in the festival area is strictly forbidden from festival opening until the festival has been declared closed by the festival chairman or 11:00 PM, whichever is earlier.
11. All vendors must comply with the Board of Health requirements. Questions regarding the Board of Health must be directed to the Board of Health.

12: No professional food vendors are permitted, except certain exceptions for items packaged for later use or for Beech Grove based vendors. Please contact bgfallfestival@gmail.com if you think you qualify to be a professional food vendor.
13. No food vendors will be accepted less than 14 days before the event due to permit regulations.

14. Giving away food or drinks, except water, is prohibited, except for samples & at closing time to prevent waste.
15. No vendor is permitted to do business outside of the vendor space.

16. Certain items are prohibited from display and/or sale. Items prohibited from display and/or sale include, but are not limited to: drug paraphernalia of any kind including, but not limited to, pipes, bongs, roach clips, rolling papers, grinders, torches, and syringes. Articles promoting the use of drugs or other illegal activities. Pornography of any kind. Fireworks including, but not limited to, sparklers, firecrackers, fountains, shells, bottle rockets, roman candles, or any pyrotechnic device containing black powder or sulfur. Any counterfeit item or items which violate the trademarks and/or copy write of any individual or corporation. Any live animals except for fish as a prize at a game of chance. Weapons of any kind, including, but not limited to, firearms, ammunition, pellet guns, BB guns, paintball guns, airsoft guns, knives, clubs, brass knuckles, throwing stars, tear gas, mace, or tasers. Food or beverages of any type unless approved as a food vendor. Any beverage
containing alcohol, even if approved as a food vendor. Silly string and similar substances. Air horns or any noise maker powered by pressurized air canisters. Second hand goods of any type. Items displaying or promoting hate speech or symbols. All decisions by the Booth Chairman are final.
17. All vendors must comply with Indiana Fire code requirements. Any fire code questions must be directed to the local or state Fire Marshal. Standard fused & GFI 110V outlets will be available throughout the festival, however please plan to bring at least one suitable 50-100 foot all-weather extension cord. 220V service is also available. For 220V service be certain to have a regulation fuse box and a lengthy all-weather cable. To help ensure access to 220V service, please email bgfallfestival@gmail.com.
